Pegeen Nelson was unable to attend but a copy of the budget was passed out for review. Lori Rakonza motioned to accept the budget, Janet Berg seconded the motion.

Band Director’s Report

Mr. Robertson reported that the pep band performances have gone VERY well this year. The kids seem to be enjoying the music and supporting the basketball teams.

Upcoming Events:

The Wind Ensemble will be attending the Central Washington Band Festival in Ellensburg on Friday, March 5th.

Mr. Robertson has asked for volunteers to play at the Redmond Farmer’s Market on May 1st. Because of the size of the venue, this needs to be a small group of students.

Seventeen members of the Jazz Band will be attending the Washington State Music Educators conference, February 12 -15. The conference is entitled, ‘Sowing the Seeds’. The Jazz Band was chosen to play for a clinic, ‘It doesn’t Sound Bad but it Could Sound Better’.

Mr. Robertson named Music Educator of the Year!

Mr. Robertson was named ‘Music Educator of the Year’ by the Northlake Music Educators Association. Music educators in the 22 regions of Northlake bestowed this honor on Mr. Robertson for his exceptional teaching.

Band President’s Report

The band president was unable to attend this meeting. No report was presented.

Committee Reports

Concert Programs

Everyone agreed that the program for the winter concerts looked GREAT.

Ad Sales

Stephen reminded everyone – please thank local businesses who have advertised in our programs! Among many businesses, Redmond Floral has been very supportive.

Brown Bear Car Wash

An unsuccessful attempt was made to sell car wash tickets at the January 29th basketball game. Apparently the band boosters were competing with the cheerleaders who were also selling car wash tickets. The boosters were only able to sell a couple license plate frames. Unsold car wash tickets will be returned to Brown Bear.

Fruit Sales

Becky Munsell reported that fruit sales went VERY well. Unloading and sorting fruit was completed in record time due to the great participation from both students and parents.

The grand totals were: 215 boxes of oranges and 125 boxes of grapefruit. Over 100 pounds of fruit was donated to the Hopelink food bank. Preliminary numbers indicate that students will earn approximately $8/box.

Scholarships

Janet Berg reported that the scholarship program will kickoff on March 8th. Applications will be due on April 19th. Winners will be announced at the final concert on May 26th. The band boosters will award three $700 scholarships. In the past Redmond Floral has provided flowers for the presentations.

Tailgating

The tailgates went very well. Kids really enjoyed the last tailgate on January 29th. The Basketball boosters generously provided pizza. Band boosters supplied drinks and desserts. The original budget for the tailgates was $800. After the final tailgate, there is approximately $124 remaining.

Raffle

There are two concerts remaining. Julie Turner mentioned that the boosters need more donations. Raffled items have included: Coho Certificates, Chipolte Certificates, Smile Boxes, and Brown Bear Car Wash tickets.

Garlic Jim’s

Garlic Jim’s fundraiser will begin on February 17th. John and Stephanie Miller will coordinate this.

Cell Phones

The Band Boosters are collecting used cell phones. Joanie Chinn will coordinate sending in these phones for cash.

Dine Out Night

The second ‘Dine Out’ funder raiser will be scheduled with Red Robin on March 29th.

New Business

Meeting schedule for 2009/2010 March 9th, April 13th, and May 11th.

Washington Music Educators

Mr. Robertson mentioned that students auditioning for the All-State Band pay a $10 audition fee. If the school joins the Washington Music Educators Association (WMEA) as an associate member these audition fees are waived. The annual fee is $145 which could be divided between the band, orchestra, and choir. After a brief discussion, the band boosters approved spending $48.50 (1/3 of the $145 fee) to join the WMEA and to add this as an annual expense to the budget.

Spring Trip

Stephen stated that the cost for the spring band trip will likely be $180 - $200. Mr. Robertson reported that there are currently 83 band, 27 choir, and 25 orchestra students signed up. The trip is scheduled for May 14 -15th.

Bowling

Mr. Robertson will discuss this with the band council.

New Band Booster Website

Stephen Rakonza is researching ideas for a place to host the band booster website.

He’s identified several possibilities.

Senior Program

Amanda Cote presented the idea producing a special program for the final concert that highlights the accomplishments of the graduating seniors. Mr. Robertson mentioned that Inglemoor High School does something similar.

Julie Turner motioned to adjourn the meeting. Lori Rakonza seconded the motion.

The meeting was adjourned at 7:55. Thank you!

Next meeting: March 9, 2010! See you there.

Booster Meeting Minutes January 12 2010

(Next Meeting: February 9, 2010)

Meeting was held at RHS Band room and was called to order at 7:07 pm by Stephen Rakonza, band booster president.

Attendees: Stephen Rakonza, Chelsea Rakonza (student representative), Lori Rakonza, Amanda Cote, Pegeen Nelson, Joanie Chinn, Becky Munsell, Janet Berg, Andy Robertson, Lindsay Ellason, Stephanie Miller, Paige Norman, Laci Castro (Band President), Besetat Tafesse (student representative), Ben Chao (student representative), Dede Wren, Allyn Higashi, and Diane Durant

Welcome

Stephen Rakonza welcomed everyone. Minutes from the previous meeting were reviewed. Joanie Chinn motioned to accept the minutes as written, Paige Norman seconded the motion, and the minutes were passed as written. Attendees were also directed to the band booster website where minutes are posted for review. http://teamsite.rakonza.com/RedmondBand/Handouts.aspx. Students are also encouraged to check the website regularly for information.

Treasurer’s Report

Pegeen Nelson passed out a copy of the budget report to date. Compared to last year’s results, income from gift wrapping at Borders was more than expected ($911.13). However, there was quite a bit of variation between groups – the timeslot seemed to be an important factor for success.

Food Service – Student Earnings

Pegeen has been exchanging emails with the food service to coordinate paying non-band kids for hours worked. There are 2 or 3 choir kids and 1 orchestra kid who are working in the food service. Pegeen has volunteered to track these earnings and write a check to the associated organization. The group asked about how students designate an organization (band or otherwise). Pegeen reported that when signing in for work band kids indicate ‘band’ or ‘-‘. She’s asked that non-band students designate ‘choir’ or ‘orchestra’. Before the Disneyland trip next year, this should be resolved. If a larger number of non-band kids choose to participate, managing the various accounts could become a significant effort for Pegeen.

Mr. Robertson mentioned that the option to work in the food service is available to all students. Typically kids hear about the opportunity by word-of-mouth.

Julie Turner motioned to approve the Treasurer’s report as written. Joanie Chinn seconded the motion. Motion accepted.

Band Director’s Report

Mr. Robertson apologized for missing last month’s meeting. He was very ill. Winter concerts were very successful. The Jazz Band/Orchestra concert was very well received. Mr. Robertson thanked Wendy Rice for making a skirt for one of the members.

Pep band has also been going very well. Kids are enjoying the music and supporting the basketball teams.

The Redmond ‘Marching Band’ has been asked to play at the Redmond Market on May 1 st .  Mr. Robertson mentioned to the organizers that Redmond doesn’t have a ‘Marching Band’ but could provide 10-20 kids. He’ll ask kids to sign up for this event.

Mr. Robertson reported that he’ll have a student teacher (Arne Phillips) until approximately mid-March. In high school Mr. Phillips, played trumpet and was a drum major. He’ll be working with both the band and choir.

Using funds from the band boosters, major repairs were made to a band tenor sax. Cost of the repairs was $793. The 2009/2010 band booster’s budget allocates $1000 for instrument repair/purchase.

Band President’s Report

Laci Casto reported that the bands (both wind ensemble and concert band) have separated into ensemble groups of 5 musicians or fewer. Each group had an opportunity to choose music which will be performed during finals week. Mr. Robertson stated that kids will be evaluated based on musical decisions and interpersonal dynamics. He noted that as a musician it’s important to be able to play as a group and to manage different personalities.

Solo ensemble is scheduled for February 6th at Lake Washington High School. Redmond High School will have approximately 12 soloists and4-6 ensembles participating.

Committee Reports

Concert Programs

Everyone agreed that the program for the winter concerts looked GREAT. Joanie Chin reported that people seemed to enjoy the word searches.

Ad Sales

Stephen reminded everyone – please thank local businesses who have advertised in our programs! Thinking ahead to next year, Paige suggested the band start soliciting advertisement earlier - maybe May or June?

Brown Bear Car Wash

The group decided to sell remaining car wash tickets at the January 29th basketball game. Scarves and license plates will also be included in this sales effort. Mr. Robertson volunteered to notify the school about these plans.

Fruit Sales

Becky Munsell reported that fruit sales have been going well. With the exception of only a small few, students have turned in order sheets and money. So far she has orders for 101 boxes of oranges and 64 boxes of grapefruit. Students who sold fruit must be at Redmond High School at 8:00 am, January 30th to help unload and to sort fruit.

Scholarships

Janet Berg reported that she’ll start recruiting members in February.

Tailgating

The tailgate on December 18th went very well. There will be a last tailgate before the January 29th games. Budget looks good. Boosters will set up the tailgate in the cafeteria. Students will be released between 7:00/7:15 for the tailgate. Mr. Robertson will reserve the cafeteria.

Raffle

The raffle has been very well received this year. Raffled items have included: Coho Certificates, Chipolte Certificates, Smile Boxes, and Brown Bear Car Wash tickets. Donated items are always encouraged.

Garlic Jim’s

Diane Durant reported that the boosters have 350 tickets left from last year’s efforts. John Miller will coordinate this fund raiser towards the end of February.

Cell Phones

The Band Boosters are collecting used cell phones. Laci reported that Mr. Town has a box of cell phones that he’s waiting to recycle (his class collected them last year). She’ll ask him to donate these to the band. Dede Wren brought a large box of cell phones for her previous business. Joanie Chinn will coordinate sending in these phones for cash.

Dine Out Night

The first ‘Dine Out’ funder raiser occurred at Ruby’s on December 14th. Paige Norman reported that Ruby’s was VERY easy to work with. The band raised $225.17.

New Business

Meeting schedule for 2009/2010 February 6th, March 9th, April 13th, and May 11th.

Spring Trip

Stephen stated that the cost for the spring band trip will likely be $180 - $200. Mr. Robertson reported that the band trip coincides with the Agatha Christie play. Some kids who participate in both band and drama may not go on the trip.

Band Wish List

The group discussed with Mr. Robertson the possibility of establishing a band ‘wish list’. It was noted that graduating seniors may want to purchase items for the band.

Bowling

Scheduling of a bowling event was tabled until the next meeting.

Julie Turner motioned to adjourn the meeting. Joanie Chinn seconded the motion.

The meeting was adjourned at 8:10. Thank you!

Next meeting: February 9, 2010 but don’t forget fruit delivery is January 30th!

Booster Meeting Minutes December 1 2009

(Next Meeting: January 12, 2010)

Meeting was held at RHS Band room and was called to order at 7:05 pm by Stephen Rakonza, band booster president.

Attendees: Stephen Rakonza, Chelsea Rakonza (student representative), Lori Rakonza, Amanda Cote, Pegeen Nelson, Sue Sage, Joanie Chinn, Becky Munsell, and Janet Berg.

Welcome

Stephen Rakonza welcomed everyone. Minutes from the previous meeting were reviewed. Joanie Chinn motioned to accept the minutes as written, Pegeen Nelson seconded the motion, and the minutes were passed as written. Attendees were also directed to the band booster website where minutes are posted for review. (http://teamsite.rakonza.com/RedmondBand/Boosters.aspx). Students are also encouraged to check the website regularly for information.

President’s Report

Stephen Rakonza proposed moving the Band Director’s report to the front page of the website. The group felt that this was a good idea. Chelsea mentioned that many band students are unaware of this resource.

Treasurer’s Report

Pegeen Nelson reported that this year’s budget includes $600 for raffle sales. So far, the raffles seem to be doing well.

Similarly to last month’s meeting, Pegeen brought up the question of non-band members (orchestra or choir members?) working for the food service. She mentioned that arrangements need to be made for transferring earned funds to these students. One girl has apparently earned over $450. The option to earn money through food service has historically been available to band members. The group generally felt that this should continue to be available only for band members – especially next year as kids earn money for the Disneyland trip.

Joanie Chinn motioned to approve the Treasurer’s report. Lori Rakonza seconded the motion. Motion accepted.

Band Director’s Report

Mr. Robertson was unable to attend this month’s meeting. Chelsea Rakonza reported that Basketball season will start tonight. The band has been working on holiday music for the upcoming concert.

Beserat Tafesse and Ben Choa were selected as Drum Majors.

Band President’s Report

Laci Casto was unable to attend this meeting.

Committee Reports

Concert Programs

Joanie Chin reported that we will likely exceed the program budget for the year. With more advertisements, the program has grown in size – hence higher copying and material costs. Recent program had a typo in the Rotary Club advertisement – "Out Motto" rather than "Our Motto". This will be corrected in the next program.

Ad Sales

No update.

Brown Bear Car Wash

No update.

Fruit Sales

Becky Munsell reported that fruit prices are increasing – Grapefruit $21/box and Orange $21/box. With the increasing prices, we should look into additional options for next year (see new business). This year kids can expect $6-7/box profit depending on administrative costs. Fruit sales will run December 10, 2009 – January 10, 2010 with delivery on January 30, 2010.

Scholarships

As expected at this time of the school year, Janet Berg reported that the committee hasn’t started yet.

Tailgating

It was suggested that the Band Boosters sponsor one tailgate for the Basketball season. There is budget available to cover these costs. A simple menu of hot dogs, chips and cookies was proposed. Lori will check with Mr. Robertson to schedule a time – possibly in January.

Raffle

The raffle has been very well received this year.

Garlic Jim’s

This fund raiser will begin in February.

Cell Phones

The Band Boosters are collecting used cell phones. Depending on the type of phone the boosters can earn up to $2.00/phone.

Border’s Gift Wrap

Lori reported that kids have been signing up for the gift wrapping. Border’s has indicted that the location will be moved closer to the front of the store. Lori’s hopeful that this will go better than last year.

Dine Out Night

The first ‘Dine Out’ funder raiser is scheduled for December 14th at Ruby’s.

New Business

Meeting schedule for 2009/2010January 12th, February 6th, March 9th, April 13th, and May 11th.

Band Fruit

The company that supplies fruit suggested a couple additional items for next year’s sale. Becky described a few of these including small tabletop Christmas trees or Satsuma oranges. She noted that the band may be able to realize a higher profit margin with these products. It was agreed that people expect the band to sell fruit and that many ‘wait’ for it. We don’t want to lose the product recognition. However, adding Satsuma oranges as an option may be worth considering.

Spring Trip

Stephen stated that the cost for the spring band trip will likely be $180 - $200.

Facebook?

The possibility of establishing a Facebook page or Twitter account was discussed. No decisions were made.

Student-Run Car Wash

Joanie proposed organizing a student-run car wash for the spring.

Bowling

Mr. Robertson would like to make bowling an annual event for the band. The cost is approximately $20/student. The band boosters will investigate scheduling this before one of the spring semester LEAP days.

Lori Rakonza motioned to adjourn the meeting. Joanie Chinn seconded the motion.

The meeting was adjourned at 7:55. Thank you!

Booster Meeting Minutes November 10 2009

(Next Meeting: December 1, 2009)

Meeting was held at RHS Band room and was called to order at 7:05 pm by Stephen Rakonza, band booster president.

Attendees: Stephen Rakonza, Chelsea Rakonza (student representative), Amanda Cote, Pegeen Nelson, Allyn Higashi, Laci Casto (band president) Ben Chao (student representative), Dede Wren, Paige Norman, Joanie Chinn, Lynelle Allen, Stephanie Miller, Becky Munsell, Janet Berg, Julie Turner, Diane Durant, and Andy Robertson.

Welcome

Stephen Rakonza welcomed everyone. Minutes from the previous meeting were review. Acceptance of the minutes as written was motioned, seconded, and passed. Attendees were also directed to the band booster website where minutes are posted for review. (http://teamsite.rakonza.com/RedmondBand/Boosters.aspx ). Students are also encouraged to check the website regularly for information.

President’s Report

Stephen Rakonza proposed changing the website to include excerpts from Mr. Robertson’s monthly report. The group felt that this was a good idea. Stephen also asked about adding more recent photographs to the website. Apparently the photographs currently on the website are very old. Mr. Robertson mentioned that clearance would be required for any students recognizable in the photographs. Group shots with no recognizable students could potentially be posted without clearance. Stephen will look into getting some photographs. Please send him an email if you have potential photographs.

Treasurer’s Report

Pegeen Nelson reported that ad sales were doing very well this year but donations are lower than hoped. Through the corporate matching program, the band boosters have received $60.92 from Costco.

The group agreed to add a line item to the annual budget for post box rental ($74).

Pegeen asked the group. ‘Where does the money go if a student works in food service but isn’t a band member?’ Apparently there are 3 or 4 students who fall into this category (each has earned over $100). Mr. Robertson stated that the option to earn money through food service has historically been available to band members. These students are reportedly in the choir or orchestra. Mr. Robertson volunteered to follow-up with these students. The group agreed that these monies should go to the students.

Dede Wren motioned to approve the Treasurer’s report. Paige Norman seconded the motion. Motion accepted.

Band Director’s Report

Mr. Robertson reported that it’s been a good year so far! Several students have been selected for honor bands. These students are:

All State Band

Beserat Tafesse

Daniel Giacobbe

Sierra Allen

PLU Honor Band

Beserat Tafesse

Daniel Giacobbe

Laci Casto

Ben Choa

Valerie Miller

Sierra Allen will be playing in the Macy’s Day Thanksgiving parade!

Congratulations to everyone!

On Wednesday, November 4th the District Honor Band performed at Redmond High School.  The performance went very well.  Redmond High School was represented by 18 students.

The Redmond Jazz Band had a successful performance at the Northlake Jazz Festival on October 27th. This was a wonderful experience for the musicians. The group will be playing at the Northshore Jazz festival on November 21st at Bothell High School’s Performing Arts Center.

Pippin was performed on November 5-7 and the pit orchestra did very well. Performances are also scheduled for November12-14 – please come and support the kids.

Basketball season is right around the corner. Mr. Robertson reported that sign-up sheets for pep bands will be available soon.

The first concert was on Wednesday, October 21st at 7:00 pm in the Redmond Performing Arts Center (RPAC). Mr. Robertson reported that the band did very well. He also mentioned that people commented favorably on the shorter format?!

Band President’s Report

Laci Casto discussed some new music that the band may be playing soon. This included Living on a Prayer (Bon Jovi), I got a Feeling (Black-Eyed Peas), and a special version of Don’t Stop Believing. Students are excited to get this music.

Committee Reports

Concert Programs

Joanie Chin reported that the program for the first concert looked really good. She suggested including a snowman (or similar holiday graphic) search in the next program for younger attendees. She volunteered to hand out candy canes to kids who find all the snowmen.

The question was asked about proof-reading the programs. Joanie said that she will be sure to have someone proof-read it before printing.

Ad Sales

Paige Norman and Dede Wren reported that ad sales will likely meet the budget goal. All listed businesses have paid and there are no outstanding charges. A question was raised about personal advertisements. In past years, students and parents have purchased personal messages in the program, especially in the final program recognizing the graduating seniors. Mr. Robertson volunteered to send out an email reminding people about personal announcements.

Brown Bear Car Wash

Diane Durant reported that the students sold 313 tickets for a total of $1565. There were 177 tickets left unsold. Rather than return these to Brown Bear Car Wash and incur a charge of $1.25/ticket, parents will try to sell the tickets at basketball games. It was agreed that any additional money raised by the parents will go to the general fund benefitting all the students.

Fruit Sales

Becky Munsell reported that fruit sales will kick-off either December 10th or 11th. Delivery will be January 30th. Becky suggested including a brightly-colored flyer in the concert program to advertise the fruit sales. Everyone agreed that the flyer was a great idea.

Scholarships

As expected at this time of the school year, Janet Berg reported that the committee hasn’t started yet.

Tailgating

The last tailgate occurred on Friday, October 23rd and was very well received.

Raffle

Julie Turner organized the first concert raffle. Since she has never done the raffle, it was a learning experience! A couple pointers for any future raffle coordinator – maybe bigger baskets and clear wrapping around the items. From the six raffle items, $120 was raised. It was agreed to donate some Brown Bear Car Wash tickets for the next raffle. Julie also has some Coho Café dinner coupons for the raffle and coffee.

Garlic Jim’s

This fund raiser will begin in February.

Cell Phones

The Band Boosters are collecting used cell phones. Depending on the type of phone the boosters can earn up to $2.00/phone.

Border’s Gift Wrap

Lori Rakonza contacted Border’s about holiday wrapping at their store. The wrapping is done by band members free-of-charge with donations encouraged. Border’s provides the supplies. Last year the wrapping table was located in the back of the store, near Seattle’s Best Coffee. This was a poor location with very limited foot-traffic and low donations. Lori mentioned this to the Border’s management. She was told that the wrapping table will be located at the main entrance to the store – a much better place. Available dates included – December 1st -5th, Dec 7th, and Dec 15th. No one volunteered to coordinate sign-up for this event. Stephen Rakonza volunteered Lori. Lacy will coordinate the student volunteers.

P.O. Box

Thanks to Stephen Rakonza, the Band Boosters have a new post office box! The new address is

P.O.Box 2601
Redmond WA 98073

There are two keys.  One will go to Pegeen Nelson, treasurer and Stephen as the president will keep the second key.

New Business

Meeting schedule for 2009/2010: December 1st, January 12th, February 6th, March 9th, April 13th, and May 11th.

Joanie suggested having treats available after the concerts. She mentioned that this had worked well at Evergreen Junior High. Parents brought treats. Band members were the first to enjoy the treats. No agreement was reached.

Stephen stated that the cost for the spring band trip is unknown. They are getting bus quotes.

Julie Turner motioned to adjourn the meeting, Paige Norman seconded the motion.

The meeting was adjourned at 8:15. Thank you!

Redmond Mustang Band Booster Minutes Oct 13th 2009

Redmond Band Boosters

Monthly Meeting

October 13, 2009

(Next Meeting:  November 10, 2009)

Meeting was held at RHS Band room and was called to order at 7:05 pm by Stephen Rakonza, band booster president.

Attendees:  Stephen Rakonza, Lori Rakonza, Chelsea Rakonza (student representative), Amanda Cote, Pegeen Nelson, Allyn Higashi, Besetat Tafesse (student representative), Ben Chao (student representative), Dede Wren, Paige Norman, Becky Munsell, Janet Berg, Julie Turner, Diane Durant, and Andy Robertson.

Welcome

Stephen Rakonza welcomed everyone.  Minutes from the previous meeting were review.  Acceptance of the minutes as written was motioned, seconded, and passed.  Attendees were also directed to the band booster website where minutes are posted for review. (http://Redmond.Rakonza.com).  Students are also encouraged to check the website regularly for information.

Treasurer’s Report

Pegeen Nelson presented and discussed the budget for the 2009/2010 school year.  Budgeted amounts will remain at the same levels as last year. The group discussed adding a new budget item ‘Festivals’ to cover costs associated with attending these events.  Mr. Robertson indicated that there are several jazz festivals that he’d like our jazz band to attend.  Lori Rakonza motioned that the 2009/2010 budget be modified to include $500/year for festival related expenses.   Paige Norman seconded the motion.  Motion accepted.

Band Director’s Report

Mr. Robertson reported that it’s been a good year so far!  The Jazz Ensemble has been chosen to play at the Washington Music Educators Conference in Yakima over president’s weekend, February 12-14, 2010. The Jazz Ensemble submitted an audition tape last May.

Band members sold entertainment books in conjunction with the ASB.  Profits from these sales ($900-$1000) will go to the Associated Student Body (ASB) Band account.

There have been three home football games.  The kids have learned a couple new Pep Band tunes including ‘Don’t Stop Believing’ which is very popular.  Brian Dennis had the winning design for the Pep Band shirts.  Mr. Robertson has received requests from non-band members for these great shirts. ‘No deal’ these are exclusive to the band!

Rehearsals for the ‘Pippin’ pit band have begun.  Pippin is scheduled for November 5-7 and 12-14 – please come and support the kids.

The first concert will be Wednesday, October 21st at 7:00 pm in the Redmond Performing Arts Center (RPAC).   Mr. Robertson reported that practices are going very well.  He’s excited and expects this to be an exceptional band year.

Committee Reports

Concert Programs

Joanie Chin, the program coordinator was not available for this meeting.  The program is out to the printer and looks really good this year. The group discussed the importance of selling advertisements.  Monies raised by these advertisements are used for scholarships.

For the future, the group suggested that someone familiar with the concert program prepare a summary or notebook documenting what works and doesn’t work.

Ad Sales

Paige Norman and Dede Wren will be coordinating ad sales this year.  Paige sent out 200 brochures to local businesses.  Approximately 20 brochures were returned because of the wrong address or the addressee is no longer in business.

Many businesses no longer have a local budget for advertisements.  All requests must be processed through a national office.  With this in mind, Paige suggested sending out requests in the summer to allow enough lead time the national offices to respond.  A few highlights from the advertisement sales:

Redmond Floral – bought an advertisement.  This business often donates flowers for the last concert.

Ruby’s Diner – will sponsor a ‘dine out’ event again this year.

Red Robin – manager very willing to buy an advertisement for the program as well as sponsor a ‘dine out’ event.

Projected income from advertisement sales - $1800

Rotary Club

The Band Boosters accepted an offer from the Rotary Club to fund one of the student scholarships.  The Rotary will donate $700 to the Band Boosters for this purpose.  As part of the agreement, the Boosters will retain the responsibility for choosing the scholarship recipients.  The Rotary will be given an opportunity to discuss their community service-based program.

The group discussed issues surrounding accepting the Rotary Club donation for a scholarship – not specific to the Rotary Club but any organization or business.  After a brief discussion, Stephen suggested tabling this for another meeting.  It was agreed that the by laws should be changed to address the criteria used to choose potential donors.  Questions included – should private business be allowed to donate to a like-named scholarship?, does a donation suggest the band or boosters endorses the business or organization?, how does the band boosters justify denying a donation?

Brown Bear Car Wash

Diane Durant will coordinate the Brown Bear Car Wash ticket sales.  Tickets sell for $5.00 and cost the band boosters $1.25 (profit of $3.75/ticket sold).  400 tickets were purchased of which approximately 330 tickets were passed out to the students on Thursday, October 8, 2009.  Diane will visit the school every Thursday in October to collect monies from car wash ticket sales and handout more tickets, if necessary.

Fruit Sales

Becky Munsell reported that fruit sales will kick-off either December 10th or 11th.  Delivery will be January 23rd or 30th, NOT the first Saturday in February.  Becky asked for a volunteer to ‘inspire’ the students to sell fruit.  It was suggested that the band student council would be a good choice.

Scholarships

Janet Berg volunteered to chair the scholarship committee.  The committee will consist of five parents, who do not have a senior in the band.  Julie Turner mentioned that there are very specific guidelines and instructions for this committee.

Tailgating

Lori Rakonza has been organizing the tailgating events. All have been well attended and appreciated by the band members.  Lori reported that the expenditures are well within budget.  The last tailgate will be on Friday, October 23rd.  Pizza is on the menu.

Raffle

Julie Turner volunteered to organize the raffle this year.  Several local businesses have donated raffle items.

Uniforms

Wendy Rice coordinated distribution of band uniforms this year.

Scarves & License Plate Frames

Amanda Cote and Eric Peterson sold fleece scarves ($10 each) before the Homecoming games.  Material cost: approximately $57, sales: $180, profit: $123.  A really good response!  Amanda will purchase additional fabric to make more scarves before the next home football game.  Mr. Robertson suggested sewing and assembling the scarves after school one day to use student volunteers.

Pegeen Nelson had less than 10 Redmond Mustang license plate frames remaining from previous sales. The group agreed to include these with the scarf sales and order additional frames for next year.  The frames will sell for $5 and scarves $10.

Mr. Robertson did not spend the $1,000 budgeted last year for Instrument Repair/Purchase. This money will be rolled over into the 2009/2010 budget for the same purpose. Mr. Robertson indicated that he expects to use these funds during the school year.

Funds allocated in the 2008/2009 budget for the tailgates ($800.00) ran low. However, Lori Rakonza reported that this was an exceptional year and that the budget wasnÕt evenly spread between games. She recommended leaving the budget at $800.00 for 2009/2010.

Band DirectorÕs Report

Mr. Robertson reported that the first home football game will be this Friday, September 11, 2009 at 7:00. This game (Redmond vs. Juanita) has been chosen by KIRO TV as the game of the week. The wind ensemble will be playing at a Spirit Assembly on Friday afternoon.

There has been ALOT of interest in the Jazz Band this year. More students than ever before auditioned. Mr. Robertson is considering the possibility of two jazz bands. Some of the challenges presented by two jazz bands would be finding a practice space, an available conductor, and time. Student conductors could be a possibility.

Elections for the band council are going well. Ultimately there will be two representatives from each grade. However, a tie has necessitated a run off election.

The drama department is putting on the musical ÔPippinÕ this fall. There will be a pit band and auditions will be scheduled within the next couple weeks. Pippin is scheduled for November 5-7 and 12-14.

The first concert will be Wednesday, October 21st at 7:00 pm in the Redmond Performing Arts Center (RPAC). Mr. Robertson reported that practices are going very well. HeÕs excited and expects this to be an exceptional band year.

Band President Report

Laci Castro, band president reported that all designs for the Pep Band T-shirts must be submitted by September 9, 2009. There was a brief discussion about having hats for the band members. It was generally agreed that students wouldnÕt wear the hats. Laci is interested in getting more band members to participate in activities and community music events such as solo ensemble.

Committee Reports

Concert Programs

Joanie Chin, the program coordinator was not available for this meeting. The group discussed the importance of selling advertisements. Monies raised by these advertisements are used for scholarships. Last year, as in previous years, the band boosters awarded three $700 scholarships to graduating seniors ($2,100). Unfortunately, as a reflection of the bad economic times, advertising revenue decreased last year. The band boosters did not raise the necessary $2,100 but decided to use other funding sources to cover this cost.

Band parents will be encouraged to sell advertisements to local businesses. Paige Norman will be coordinated ad sales this year. As an example, a business card-sized advertisement is $35 for the entire year. Every paid advertisement will appear in all four concert programs. Stephen Rakonza will post information about purchasing advertisements on the website. All advertisements are due in early October.

An effort will also be made to encourage more personal announcements. Students enjoy seeing their names in the program.

Brown Bear Car Wash

Diane Durant will coordinate the Brown Bear Car Wash ticket sales. Tickets sell for $5.00 and cost the band boosters $1.25 (profit of $3.75/ticket sold). The group discussed coordinating various fund raising activities. Fundraising efforts should be coordinated to get the maximum impact. It was suggested that band sell car wash tickets in October. There are 103 students in this yearÕs band program. With that in mind, Paige will initially order 200 tickets. If these sell well, she has the option to purchase more.

Mr. Robertson mentioned that the band will be selling Entertainment Books September 17th Ð 28th in conjunction with the Associated Student Body (ASB). This will be very low key. The ASB provides financial support to the band.

Fruit sales will be in December with delivery in January.

Scholarships

Julie Turner (previous scholarship chairperson) did not attend the meeting. Apparently she has identified someone to chair this committee for the 2009/2010 school year. Stephen Rakonza will contact her to determine the new chairperson. Pegeen Nelson reported that one scholarship check from the 2008/2009 year was returned. Julie Turner will follow-up.

Cell Phone Recycling

Pegeen Nelson reported that the cell phone recycling effort, coordinated by Joanie Chin, made a profit of $85.00. This effort will continue. Thank you, Joanie!

Summer BBQ

Lori Rakonza coordinated the annual BBQ. It was well attended.

Tailgating

Lori Rakonza volunteered to organize the tailgating events.

Garlic JimÕs

Garlic JimÕs provides discount coupons (face value of $5.00) to the Band Boosters at no charge. Students can sell these for a $5.00 profit. John Miller has volunteered to coordinate this fund raiser which will occur in February.

Raffle

Stephen Rakonza will contact the previous chairperson (Sharon Portelance) to determine who will be organizing the raffles this year. Stephen noted that Sharon did a wonderful job last year with the raffle; raising significantly more than anticipated. Thank you, Sharon!

Uniforms

Wendy Rice will coordinate uniforms this year.

Fruit Sales

Becky Munsell will coordinate fruit sales for this year.

New Business

Meeting schedule for 2009/2010: October 13th, November 10th, December 1st, January 12th, February 6th, March 9th, April 13th, and May 11th.

Mr. Robertson reported that next year the band will attend Music in the Park Festival in Idaho, May 14 -15, 2010.

New ideas for fundraising were discussed. Amanda Cote volunteered to make scarves to sell at the home football games. According to Joanie Chinn these were very popular last year. Pegeen mentioned that she has some Redmond Mustang license plate frames which could also be sold at football games.

Lori Rakonza motioned to adjourn the meeting, Ben Chao seconded the motion.

The meeting was adjourned at 8:10. Thank you!

Addendum

Mr. Robertson requested $225 from the Band Boosters to pay the fees for the Jazz Band to attend the Northshore Jazz Festival (Saturday, Nov. 21st) at Bothell HS.  With an up or down vote, the Executive board is permitted to authorize funds up to $500. The Board voted unanimously to provide $225 for the Jazz Band trip.

Treasurers Report-

Pegeen reported that more matching funds had come in.  The tailgate account came in at budget.  Ads have not been where we hoped they would be.  Parents that work for a company that gives money for volunteering, make sure you are following through because there is a lot of money to be claimed in this way. Next year money might need to be raised from a different source to supply the scholarship fund.  There was a motion made that we take the donation money and put it into the scholarship fund for this year so that it is intact for next year.  It was seconded and passed.  A motion was made to accept her report and it was approved.

Band Directors Report-

Andy reported that there were no performances in the last three weeks. April was full of WASL and AP testing. RHS had three representatives to state Solo Ensemble-they all did well. The band will be voting for senior band member of the year.  It will be announced at the concert.  5th Avenue Musical Awards will be coming out in a couple of weeks, RHS is hoping for an award for their drama department. The next and last concert will be on the 27th.  Prior to that students need to bring back their white overlays and band jackets. The cost for going to the Family Fun Center was too high, so the band is going bowling on May 21st from 9-12 midnight.  Lori has been working with the caterer there to order food and be prepared.  It will cost $20 per person. Parents will shuttle kids between the high school and bowling alley if they can’t get there. Students will need to sign up most likely this Thursday.  Wristbands will be their entrance ticket.  We will have about ½ the lanes in the alley. We will get discount rates on tokens for playing pool.  Of you want to chaperone, e-mail Lori Rakonza.

Ruby’s night is on for June 1st.  A flyer was sent out.  It will be 5-9pm and we receive 20%.

Welcome, Introductions and Announcements-
Adrienne welcomed everyone to the meeting.

Secretary’s report-
Cathy reported that the minutes for the past two months were posted on the website with the help of Stephen Rakonza. They were approved and seconded.  No one opposed.
 Treasurers Report-
Pegeen reported that there were no changes since the last report.  She passed around a copy of the current treasury report which was accepted and approved.

Band Directors Report-
Andy reported that three students participated in solo ensemble this weekend. Registration for classes next fall went well.  The numbers will be about the same. Both bands did well at Band Festival and received superior scores.  The students all had a great time. All of the other bands were of high quality this year at the festival.  The last two concerts-one at RJH and the other one here at RHS with the jazz band also went well.  Andy is busy choosing music for the last concert.  AP tests are coming up in a couple weeks and then the drama festival the following week. There will be two four day weeks with memorial day.  The final concert is May 27th

Band President Report
Quin reported that there are just 31 more days for seniors. They have started playing music from Candide.  For Quin’s CP project he wrote a song which the band is going to record for his final project.

Committee Reports:
Concert Programs-
Paige reported  that Andy is looking for a student to design the programs for the final concert.  More ads are needed. Another e-mail will come out asking if senior parents want to wish their students good luck in an ad.

Raffles at Concerts-
Sharyn reported that $253 was made from the last raffle.  With one more raffle to go, she currently has 2 gift cards and some software.

            Car wash
About nine students have not turned in either car wash tickets or money so parents will be contacted.  If we return tickets to Brown Bear, we will have to pay a penalty so we are hoping to sell the remainder at sports events.  We have 363 tickets left to sell.

Scholarship
11 applications were accepted and Julie is in the process of crossing out names and making copies so her committee can review them.  When they choose the recipients, the RHS counselors will be informed and the names will be announced at the concert.  Once the students have an ID number from the college, checks are sent out directly to them with a letter.  The recipients will need to give Pegeen their information.

Ruby’s
June 1st is already set up as a fund raiser.  Might possibly do a senior send off with a milkshake or something.

Old Business
Andy has not been able to get a hold of anyone to have a band function.  He has no problem just having a fun event.  The family fun center needs a contract and 10% down with $40 per student including pizza buffet and continental breakfast.  This would be on May 21st. The total price they gave us was based on the number of kids and what they have access to.  There were questions about whether the adults would be charged.  Starting at 11pm-5am. Do they have special rates for non profits?  Prices need to be confirmed before final commitment.

New Business
We need to think about new board members for next year. President, Vice President and secretary all have seniors.  We need nominations by next meeting. The final party will be May 31st at Adrienne’s. The next meeting is May 12th.
Julie motioned to adjourn the meeting and Lori seconded it.  The meeting was adjourned at 8:10pm.
Respectfully submitted, Cathy McCreary

Car wash

Many students have not turned in either car wash tickets or money so parents will be contacted. If we return tickets to Brown Bear, we will have to pay a penalty so we are hoping to re distribute the tickets after spring break for a final push for the year. The whole sale will be over at the end of April.

Scholarship

Julie reported that she has her committee all put together. She has signed up for a couple of rooms down at the district office where they can go through the applications. The packets are all put together and she will get with Andy about a day to present to the students.

Old Business

Andy looked into the possibility of going to Idaho and neither opportunity was a good idea, one was on Prom weekend and the other was state solo ensemble. Andy also has been in conversations with college band directors where the students would go to a clinic and then spend the night in a hotel. There is a possibility of a concert on May 16th in Federal Way and then Wild Waves and a night in a hotel. Another date he is considering is the Thursday to Friday before Memorial Day weekend because it is a LEAP day.

New Business

The boosters want to look into alternate plans in case a trip does not materialize. One of the possibilities was a family fun center all night party. We will look into the costs of doing something like this between now and the next meeting.

Committee Reports:

Concert Programs-

Paige could not be present tonight so Andy explained that there would be one cover design to be used for both the band and orchestra concerts. There was discussion about how to get more adds in the programs.  It was suggested that we sell personal adds-well wishes for $25 with hopes of getting parents to send messages to their children.

Pep Band Barbecues/Tailgate- Nancy reported that the tailgates went well.  They are now preparing to do a couple of tailgates at basketball games.  It was suggested that February 13th not be one of those days because a lot of the kids will be gone.  January 23rd will be the first tailgate.

Raffles at Concerts-

Sharyn reported that there was $181.00 raised at the first concert. She has received a pair of tickets to the movies from Costco. Lori suggested contacting Ellen Lambright since she makes jewelry and was a donor when her boys were in band. There is a need for more donations.  If you have a donation, contact Sharyn or go to the website.  Sharyn will send an e-mail to band parents looking for donations.

Becky has all the envelopes left over from previous years.  Orchestra would like to participate in the fruit sales. It was suggested that they do their own tracking of money. December 11th Julie will go into the band room and present it to the students.

Cell Phone Recycling Program-

Adrienne reported that there is a box in the band room to bring in cell phones for recycling.  This is an easy fundraiser that brought in $135.00 last year.

Car wash

Julie contacted Brown Bear Car Wash.  Last year we purchased 100 tickets.  We are hoping to get these soon.  She hopes to have them by December 11th so she can distribute them in the band the same day she presents the fruit.

Borders Gift Wrap

Lori reported that this fund raiser will take place Friday, Saturday and Sunday after Thanksgiving.  Also the 7th, 8th and the 9th.  A parent will be needed to support kids and collect the money. An e-mail will be sent requesting parent support for the supervision of the students. These dates will be posted online on the website.

Andy has permission to plan the band trip.  He has contacted the Heritage Band Festival May 21-23 Thursday through Saturday.  The bus estimates are very high at this point so Andy will continue to look at other options.

New Business

December 9th meeting should be kept on the calendar and we’ll see if it is needed as we get closer to the date.

Booster bits-there is still time to add a few more things in.  We need something about band scholarship applications which will be available in March.  There are still some businesses that need to be followed up with about advertisements for this year.  If you have questions or have a donor you can e-mail Paige at paige.norman@verizon.net.

Delivery of the fruit needs to be January 24th or 31st.  Becky will contact possible vendors and keep us informed.

Uniforms-
We are in good shape with the uniforms.  Andy commented on the caps that some of the bands had at band day and thought it looked good with a uniform look.  This is a possible idea for next year for pep band.

Website

Borders gift-wrap last year had groups of 2-3 students at a time. Paige will approach Ruby’s and Red Robin to see if we could do a fundraiser there. We need to look into the Garlic Jim’s discount cards too because that was a free and clear fundraiser.  We have many scarves that are already paid for that we can sell at the game for $10. We have license plate frames for $5.  Joann will sell them at the game (after Andy get permission).

Spencer Klause created two stand carts as part of his Eagle Scout project for the band room.  Andy is requesting $200 from the band boosters to help pay for the materials used to create them. Andy had previously paid $100 of the $200 to this student.  A motion was made that we support this project.  It was seconded and approved.  Pageen wrote out checks at the meeting to take care of this right then.

Band Directors Report-

Andy reported that it has been a great start to the new year.  Many students came to the before school pep band practices and most of the others e-mailed him about what was preventing them from being there. The students will be electing band reps to form the band council in order to assist Quin this year.  Jazz band tryouts are going on now. Band numbers are up this year over the past couple of years.

Committee Reports:

Concert Programs-

Paige could not be present tonight so Adrienne explained that we sell adds for the concert programs.  This money funds the scholarship program.  She asked that Band Boosters please contact businesses in our area and solicit add sales. The forms are on the website for donations.  If you have questions or have a donor you can e-mail Paige at paige.norman@verizon.net .

Pep Band Barbecues/Tailgate- Nancy reported that the back to school barbecue went very well.  There was a great turn out.  Andy commented on the great job Quin did with the students and the get to know you games. There was a lot of discussion about the Quest Field Event and whether or not the boosters would provide food for the students.  Adrienne said they had talked about doing a tailgate or having it catered.  Another possibility was bringing bagels and cream cheese or just having the students buy food at the concession stand.  Andy asked Quin to poll the students on what they would prefer.  There was concern expressed over a dollar amount to spend on this. After much discussion, Julie made a motion to align with what had been done a couple years ago by making  turkey and bagels.  Lori seconded it.  A vote was taken and all were in favor.

The next tailgate is October 3rd.  This will be a pasta feed with Caesar salad and brownies and rice krispy treats. Four volunteers were asked to heat the sauce at home and bring it in a crock-pot to the game.

Raffles at Concerts-

Sharyn reported that there are raffles of three items before each concert to raise money for the Band Boosters general fund.  Last year we raised $806 over four concerts.  Please ask businesses for donations.  If you have a donation, contact Sharyn or go to the website.

Scholarships-

Julie reported that scholarships are given out to seniors in the spring based on an essay they write.  The essay covers how involved they were in band, community and school.  They must have been in band all three years. Last year there was seven or eight applicants, they are hoping for more this year.  Julie is going to talk to the students soon about scholarships and the procedure to apply.

Fruit Sales-

Becky reported that the fruit pre-sales start the day after the December concert.  The sale consists of premium oranges and grapefruit. The cost for the fruit varies each year.  Becky will contact possible vendors and keep us informed.

Old Business

Turn in yellow forms to Andy if they weren’t turned in already.
